What Happens When a Donor Requests a WellCheck on Your Organization

Understanding the outreach process, your window to participate, and what happens if we don't hear back.


Why you're hearing from us

If you've received an email from WellFunded, it means a donor has requested a WellCheck on your organization. That's a good sign — it means someone with meaningful giving capacity is actively considering your charity.

WellCheck is a professional due diligence report prepared for donors and DAF (Donor Advised Fund) administrators to support significant giving decisions. We don't run WellChecks speculatively. When a request comes in, there's a real donor on the other side.


Your window to participate

Charities that engage with the process get better reports. Full stop.

When we receive a WellCheck request, we'll reach out to your organization using verified contact information — typically your executive director or primary contact on file with the CRA. We make three attempts over approximately three weeks, spacing outreach to give your team a reasonable opportunity to respond.

We track delivery where possible so we can confirm our messages are reaching you.

That window exists because we genuinely want your participation. The documents you provide — annual reports, audited financials, strategic plans, theory of change — directly improve the depth and accuracy of your assessment. Charities that upload supporting materials consistently receive more complete, more favourable findings.


What happens if we don't hear back

We understand charities are busy. But we also have an obligation to the donors we serve, and we can't hold a giving decision open indefinitely while waiting for a response.

If we don't receive a reply after three outreach attempts, we will proceed with the WellCheck using publicly available and verifiable source documentation — CRA filings, publicly accessible annual reports, and any other materials we can independently locate and substantiate.

Your WellCheck will be completed and delivered to the requesting donor.

It will also note, clearly, that your organization was unresponsive to our outreach during the assessment process.

We don't flag non-responsiveness to be punitive. But it is relevant information for a donor making a significant giving decision, and we have a responsibility to include it.


You can still participate — even after the fact

If you receive a WellCheck that was completed without your involvement and you'd like to improve it, the door is open.

Once you engage with WellFunded and complete the standard submission process — uploading your documents and responding to our questions — we'll regenerate your WellCheck using the full set of materials. A charity that participates fully will almost always see a more complete and more accurate report than one produced from public sources alone.

Non-responsiveness doesn't permanently define your WellCheck. Choosing to engage does.
